This Privacy Policy describes how LogicVerse Solutions Pvt Ltd ("Company", "we", "us", or "our"), operating the SmartProHire platform, handles personal information when you use our websites, dashboards, APIs, and related services (collectively, the "Services"), including assessment creation, candidate invitations, analytics, Interview Pro, billing, and marketing pages such as smartprohire.com. SmartProHire is a product of LogicVerse Solutions Pvt Ltd.

This policy is based on the data practices implemented in our product. It is not a certification of legal compliance. If you need a formal Data Processing Agreement (DPA), subprocessor list, or jurisdiction-specific addendum, contact us at the address below. Use of the Services is also governed by our Terms and Conditions.

1. Who we are and how to contact us

SmartProHire is operated by LogicVerse Solutions Pvt Ltd. For privacy requests related to SmartProHire, contact smartprohire@gmail.com. We currently do not provide an in-product self-service portal for access, export, or account deletion requests; those requests are handled through this contact channel.

2. Roles: controller and processor

  • Controller for account registration, login, billing profiles, demo and contact leads, website analytics, and support communications we initiate.
  • Processor (on behalf of a customer organization) for candidate and assessment data that recruiters or admins upload or configure in their workspace — including invite lists, registration fields, scores, proctoring evidence, and interview records — except where we must process that data for security, abuse prevention, or legal obligations.

If you are a candidate, your hiring organization typically decides what data is collected for a specific assessment. You may also contact that organization directly for assessment-related requests.

3. Personal information we collect

3.1 Account and workspace users

When you register or manage a workspace, we may collect:

  • Name, email address, password, and mobile number
  • Company name, company size, current role, and country
  • Profile and access metadata (for example access role and permissions)
  • Email verification and password-reset related data

3.2 Billing and team management

  • Billing profile details such as name, email, company name, country, address, city, state/region, PIN/postal code, tax ID (for example GST), and company logo
  • Order, invoice, plan, usage, and payment-status records
  • Team seat invitations (invitee email and role)
  • Payment checkout data processed by our payment partner Cashfree (we do not store full card numbers in the SmartProHire frontend)

3.3 Marketing and support leads

From demo booking and contact forms we may collect:

  • Name, email, phone/mobile, company or organization
  • Optional job title, plan interest, and free-text message
  • Lead source and status used by our internal leads tooling

3.4 Candidate, assessment, and interview data

Depending on how a customer configures a contest or interview, we may process:

  • Identity and contact data: name, email, mobile; optionally gender, date of birth, LinkedIn URL, and related profile fields
  • Education and employment details: qualification, institute, company, designation, experience, location, skills; optionally compensation and job-change preferences
  • Resume/CV files and profile photos (including Interview Pro uploads)
  • Assessment activity: invitations, email delivery/open/click signals, registration status, answers, scores, ranks, shortlist decisions, plagiarism/proctoring status
  • Integrity and proctoring signals when enabled: webcam capture, screen-share activity, tab-switch or fullscreen events, session start / reference images, and related evidence URLs
  • Interview Pro KYC-related materials where used (for example document or selfie images), interviewer/invigilator contact details, session timelines, and advisory insights
  • IP address where captured as part of candidate registration or security logging

Candidate-facing test-taking experiences may also run on related assessment surfaces (including SkillMX URLs configured for public assessments). Data collected there is used to deliver and evaluate the assessment for the inviting organization.

3.5 Content and file uploads

  • Job descriptions (PDF/DOC/DOCX) uploaded for AI skill analysis
  • Invite recipient CSV files
  • Contest branding assets (logos, banners, custom HTML)
  • Billing logos and other workspace media

3.6 Technical, usage, and device data

  • Authentication and session identifiers stored in browser cookies (see our Cookies Policy)
  • Browser/device information, pages viewed, and product interaction diagnostics
  • Local browser storage used for preferences, temporary job/analysis state, billing order references, and similar client-side caches

4. How we use personal information

  • Create and secure accounts; authenticate users; manage workspaces and roles
  • Provide assessment creation, invitations, scoring, analytics, and reporting
  • Operate integrity features (proctoring/KYC) when a customer enables them for a test or interview
  • Run AI-assisted workflows such as JD summarization/skill extraction, question or test structure generation, and hiring analytics assistants over customer workspace data
  • Process billing, subscriptions, invoices, and team invitations via Cashfree and our APIs
  • Respond to demos, contact requests, and support inquiries
  • Maintain security, prevent fraud/abuse, troubleshoot, and improve the Services
  • Comply with applicable legal obligations

5. Legal bases (where applicable)

Depending on your location and the context (for example GDPR/UK GDPR or India's DPDP Act), we rely on one or more of the following:

  • Contract — to provide the Services you or your organization requested
  • Legitimate interests — such as securing the platform, improving product reliability, and responding to business inquiries, balanced against your rights
  • Consent — where required (for example certain optional fields, marketing communications, or non-essential cookies/trackers in jurisdictions that require consent)
  • Legal obligation — where processing is required by law

Customers who invite candidates are responsible for ensuring they have an appropriate lawful basis and notices for candidate data they submit to the Services.

6. How we share information

We do not sell personal information as a commercial product. We may share information with:

  • Service providers / processors that help us host, deliver email, analyze usage, process payments, store media, run AI features, or operate assessment surfaces — including, as used in our product stack: Google Analytics, Microsoft Clarity, Cashfree, content delivery / object storage (for example CDN-hosted media such as DigitalOcean Spaces where configured), SkillMX assessment links, and backend/AI infrastructure that powers analysis and generation features
  • Customer organizations and authorized users within a workspace (for example recruiters viewing candidate results)
  • Professional advisors or authorities when required by law or to protect rights, safety, and security
  • Successors in connection with a merger, acquisition, or similar corporate transaction

Microsoft Clarity may capture session interactions (for example clicks and page navigation) to help us understand product usage. Google Analytics collects aggregated and device/usage metrics. See the Cookies Policy for details.

7. International transfers

We and our service providers may process information in countries other than where you are located, including India and other regions where our infrastructure or vendors operate. Where required by law, we use appropriate safeguards for cross-border transfers.

8. Retention

We retain personal information for as long as needed to provide the Services, maintain business and billing records, resolve disputes, enforce agreements, and meet legal requirements. Retention for candidate and assessment data is also influenced by the customer workspace that collected it and by operational backup cycles on our systems. Exact backend retention schedules are maintained operationally and can be confirmed on request for enterprise customers.

9. Security

We use administrative, technical, and organizational measures designed to protect personal information, including encrypted transport (HTTPS/TLS) for our web application and access controls within product areas. No method of transmission or storage is completely secure. Browser session tokens used by the web app may be stored in cookies accessible to client-side scripts for application functionality; protect devices and avoid sharing accounts.

Marketing statements about specific encryption algorithms, certifications, or "full compliance" with named laws should be read as product goals and security practices — not as warranties beyond this Privacy Policy unless separately confirmed in a signed agreement.

10. Your rights and choices

Depending on applicable law (including GDPR/UK GDPR, CCPA/CPRA, or India DPDP), you may have rights to request access, correction, deletion, restriction, portability, or to withdraw consent where processing is consent-based. California residents may also have rights to know, delete, and correct personal information and to opt out of certain "sharing" for cross-context behavioral advertising where applicable.

To exercise rights, email smartprohire@gmail.com. We may need to verify your identity and, for candidate data, may redirect or coordinate with the customer organization that controls the relevant assessment workspace. We do not currently offer in-app account-deletion or data-export buttons.

11. Children

The Services are directed to organizations and adult professionals. They are not intended for children under 16, and we do not knowingly collect personal information from children under 16. If you believe we have collected such information, contact us and we will take appropriate steps.

12. Third-party sites and assessment portals

The Services may link to third-party sites or open candidate assessment experiences on configured domains (such as SkillMX). Those experiences may have their own terms and privacy notices. This Privacy Policy applies to SmartProHire Services as described here.

13. Changes

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the latest revision. Material changes may be communicated through the website or other reasonable means. Continued use of the Services after an update becomes effective constitutes acceptance where permitted by law.
